This article will detail how to Share files with Microsoft.
Section 1 will explain the steps from OneDrive.
Section 2 will explain the steps from SharePoint.
First, there are a couple of things to know. We store files in both OneDrive and in SharePoint. Think of SharePoint like a shared file repository and think of OneDrive like your personal file cabinet. Files can be shared from anywhere to anyone, external or internal, though it's generally considered best practice to share files from SharePoint when sharing them with people outside the company.
- Section 1 - Sharing files from OneDrive.
1. Open your OneDrive folder from the left side of the folder explorer. It will be named "Your Name - Olympus Property".
2. Navigate to the file or folder that you want to Share with someone else. For this example, I'm going to share an PDF invoice with my personal email.
3. Right-click on the file to bring up the file options menu. Go to the OneDrive menu, and select the Share option with the blue OneDrive cloud on it.
4. In the sharing window, type the email address of the person you need to share the file with. Be sure to select the email that populates once you are done typing. Once done, hit -> Send.
If you need their access to be view only, just hit the gear option before sending and select View Only.
5. That's it! The file is now shared. The recipient will receive a link allowing them access to a blank SharePoint page showing only the file or folder you shared. They will be able to edit or download the file, whatever they choose.
- Section 2 - Sharing Files from SharePoint.
1. First, we need to navigate to the file from SharePoint or Teams. I will use SharePoint directly for this example.
Once you locate the file, you can either mouse over it to see the Share button, or you can select it and view the Action Bar up top for the same options. I'm going to hover for this example.
2. Once we have the file or folder we want selected, hit the Share button to bring up the Sharing menu.
3. Type the name or email of the person we want to share the item with into the top box. For people that are outside the company, we need to type their email address. I'll use my personal Gmail address in this example.
Notice, when sharing outside of the organization, we'll need to confirm this by pressing Continue on the prompt.
4. Sometimes, it's helpful to add a personal message to the email, as it can help the recipient understand why the files were shared and lower the chances of the email getting blocked by their spam filter.
5. When ready, hit -> Send, and the file is now shared.
