How to use the Scheduling Assistant for Setting up Meetings in Outlook

If you need to schedule a meeting with internal Olympians, you can use the Scheduling Assistant to check their availability.

 

In Outlook > Click New Meeting > Scheduling Assistant

 

 

 

From there, you can add the names of attendees to check their calendar

 

The example below is looking at May 6, from 1:00-1:30

I can see that all team members are available from 1:00-1:30 except for 'Sample Person' - When a user's row is greyed out, they are not currently sharing when they are busy or unavailable.

 

 

 

For the user to share when they are busy or unavailable, they can go to their calendar > Right Click on their main calendar> Click Sharing Permissions

 

 

Click 'Can view when I'm busy' > Click Ok
